Level 3 and Scholarship assessment

Due date

Submissions for level 3 and Scholarship must arrive at the Walter Nash Stadium on Thursday, 13 November 2008.

Schools and candidates should contact their courier service by noon on Monday, 10 November at the latest to arrange pick up. Schools and candidates in rural areas should allow 1-2 days extra for delivery.

Labelling level 3 portfolios

It is essential that the correct labels are attached to candidate portfolios. Schools are advised NOT to let candidates attach labels themselves.

Place larger label at top right Place smaller label at top right

The outside label

  • shows the address for the return of the portfolio
  • reads "Place this label at the TOP RIGHT on the OUTSIDE of the portfolio". If this address is incorrect please cover it with a sticky label and write the correct address clearly on the label.

The inside (artwork side) label

  • shows a four-number serial code
  • reads "Place this label at the TOP RIGHT on the ARTWORK side of the portfolio".

If you are submitting portfolios for more than one NCEA level 3 Visual Arts standard, ensure the correct label is attached to the correct portfolio. Please check that the labels attached to the outside and inside of the portfolio are for the same standard.

Labelling Scholarship workbooks and associated portfolios

Please follow all of the instructions given above for labelling portfolios for level 3. An additional label(s) carrying the serial code(s) will be sent for NZ Scholarship candidates to affix to their clearfiles of workbook extracts. These labels, for portfolios of Scholarship candidates, carry bar coded information about Scholarship entry.

Clear file of workbook extracts

Reminder - photographs of the portfolios accompanying the workbooks must be clearly visible inside the first plastic envelope of the appropriate workbook.

If you do not receive a label for a candidate you believe should be entered for a specific field check your school's entry file . If there is NO entry or an entry has been made for an incorrect standard then contact NZQA immediately. Temporary labels for these candidates' portfolios will need to be produced by the school. These labels must include:

For outside of portfolio:

  • NSN
  • Candidate name and return address for portfolio
  • Field name
  • Standard number
  • a large 'S' if candidate is entered for Scholarship

For inside of portfolio:

  • NSN
  • Field name
  • Standard number

For front of Scholarship workbook:

  • NSN
  • Candidate name and return address for portfolio
  • Field name
  • a large 'S' to denote Scholarship

Please do not try to duplicate the bar code on any of these temporary labels. New barcoded labels will be attached at the marking venue.

Submission of Scholarship portfolios and workbooks

Please send each Scholarship portfolio and workbook submission together. Scholarship portfolios and workbooks will be logged in electronically at the venue at the same time as the level 3 submissions. The workbooks will be stored securely during level 3 assessment.

NZQA does not supply courier labels for level 3 and Scholarship submissions .

The 'Customer Copy' of each courier label attached to a portfolio must be retained by the school for tracking purposes in the event of the non-arrival of a portfolio.

Portfolios will be returned to the address on the label. Ensure that the return address shown on each portfolio label is accurate and, if not, make any required changes.

Authentication of candidate work - level 3 and Scholarship

Schools are required to forward to NZQA the identities of candidates whose work they are unable to authenticate. The policy for authentication can be found at the end of this document.

Compassionate consideration - level 3 and Scholarship

The policy, process and application form for compassionate consideration at level 3 are set out in the Assessment and Certification Rules and Procedures.

There is no compassionate consideration process for Scholarship.

Reconsideration of assessment - level 3 and Scholarship

Information about the reconsideration process for level 3 and Scholarship will be sent to schools and candidates in January 2009.
